Anytime you’re importing a file into Yardstik, we’ll provide you with a template file so you can see the specific file formatting required for that import. We recommend that you always download the template file, because if the file you import doesn’t match the template’s format, it may fail.
In the case of ordering reports, the template file often differs based on the package you choose, so it won’t be available to download until you’ve chosen a package.
Columns and 1st row
You can hide them but do not delete. These are formatted specifically to match your selected package and are necessary for a successful upload.
Column headers
Invalid column headers will cause your entire file to fail.
All column headers included in the template must be included in your file
Even columns listed as optional must have a column present, even if you don’t fill in any info in the rows
You can include extraneous columns (they will be safely ignored)
All column header titles must be formatted exactly as those in the template file
(optional) fields: any column headers with the word (optional) can include valid data if needed otherwise it should be left blank
Row content formatting
Invalid data in a row will not fail your whole file, but will cause that specific row to fail.
The first row of the file template will contain examples of how you’ll need to format the data in the rows. This row should be deleted before you import, but use it as a guide to make sure you format the data in your file to match.

phone number must include the country code and exclude spaces and dashes
For example, 16125551234
ssn
date_of_birth
must be in the yyyy-mm-dd format as shown in the template
driver_license_state
driver_license_state must be the two-letter abbreviation
state
state must be the two-letter abbreviation
zip_code
for zip codes that begin with a zero, you may need to re-format those cells to plain text to ensure the leading 0s don't get removed
country
country must be abbreviated as “US” for United States or "CA" for Canada
Error Messages
When you import your file, it will automatically check your file's column formatting. If it does not match the template's formatting, we will return an error message telling you which columns are missing.
You'll need to remove the file you attempted to upload using the (X) button and re-upload a file that includes all the correct columns/column header names.
missing columns: first_name
No, you're probably not missing the first name. But, there may be an unseen formatting issue occuring. Try downloading a completely new import template, then paste or type in your data without any formatting that might carry over from your source. Try the upload again. If it's still continuing, contact our Support team using the chat icon and we'll help you figure it out.
candidate is not active
If you are using an Integrated system connected to Yardstik, it's likely that the status of the candidate is not consistent between the two systems.
Verify in your integrated system that the candidate is not archived or set to an inactive status. If they are, make them active again.
Contact Yardstik support using the chat icon in the lower corner to ensure the candidate is also set to Active in the Yardstik platform.
