What is available in each area of the billing portal?
The new customer billing portal provides you with tools to customize views, analzye data, and manage account information effectively. You also have additional functionalties such as filtering, sorting, and exporting data across different tabs, which can streamline the billing process and enhance data analysis.
Account Balance and Last Paid header
This will always show a current account balance and payments made. Payments are applied immediately and the account balance will reflect that.
If you had an unpaid, overdue invoice prior to October 2024, your Account Balance may be larger than your previous invoice.
Invoices tab
This is the default screen that will appear each time you log in.
Invoice information will be available in this section within the first full week of the month.
Payments tab
This will show your payment history and status of payments.
Usages tab
Here you will see candidate reports that have been completed and are considered billable.
Usages tab has a tremendous amount of detail on invoiced monthly charges.
If the Invoice ID and Invoice date has a dash or is blank, the charges are in process of being accumulated for the monthly invoice. These fields will be populated shortly, generally after the 5th of the month.
Credits tab
This tab will display any credits issued to your account. This tab may be blank.
Tips for Navigating
There SO many ways you can adjust your view of data! Column names can be displayed or hidden, data can be filtered, headers can be sorted, and in the end you can export whatever you need. These view changes are only applicable for the time you are logged in; they are not able to be saved and will not be there when you log in again.
Column Views
Click the 3 vertical dots to the right of any of the tabs (invoices, payments, usage or credits) to add or remove columns from the view. Search for field, scroll to select, select hide all or show all.
Pro Tip: Hide All does NOT actually hide all columns - it takes the view down to a small number of columns considered critical the view.
Filter and Sort Data
Filter functionality is on each tab (invoices, payments, usage and credits) to help reduce down the amount of records shown. You'll want to do this before exporting any data.
Sort functionality is on each tab (invoices, payments, usage and credits). Click the arrows to the right of the column headers to sort your data.
Export Data
Once you have narrowed down the type and amount of data you want to export, it can be completed in just a few clicks. Use the Export Records above the header to begin.
When exporting, select Current Filter and the format (.xlsx or .csv) and click Send.
Make sure your data is less than 30,000 records!
Click YES to confirm the export.
You will receive confirmation in the upper right that the export was a success, and an email with a link to download the selected records.
