Rescreen Candidates or Import File

If have a list of candidates that you need to rescreen candidates or import en masse, you've made it to the right place!


What is a Rescreen?

If you already have all the candidate information necessary to run reports, you can use the Rescreen tool to upload that information to Yardstik so your candidates don’t have to enter it themselves.

This function needs to be enabled for your account

Criteria to Rescreen

When ordering reports via Rescreen, since you provide your candidates’ information on their behalf, it’s important to note that you (rather than Yardstik) are responsible for collecting your candidates’ consent.

The FCRA requires that you document your candidates’ agreement to a number of disclosures and authorizations, including but not limited to:

  • Background Check Disclosure

  • Acknowledgement and Authorization

  • Summary of Rights

Consult with your legal team to understand the full FCRA requirements to ensure you are compliant.


Populate the Rescreen template

On the Reports page select Import File.

Change the Action dropdown to Rescreen, and select Download Rescreen Template for the required file template and fields.

Make sure to change the Action drop-down to Rescreen and the button states Download Rescreen Template.

Add the candidate information into the file. You will need all required PII in order to import the candidates successfully.

Like most upload tools, you’ll need to closely follow the required fields and formatting as

shown in the Rescreen Template or you will receive upload errors.

** DO NOT delete any columns or the header row in the template **

Here are the Rescreen template fields along with some additional context on certain fields:

  • first_name (required)

  • middle_name (required)

  • no_middle_name (required)

    • if the candidate does not have a middle name input TRUE or leave blank

    • if the candidate does have a middle name input FALSE

  • last_name (required)

  • email (required)

  • phone (required)

    • phone number must include the country code

  • ssn (required)

    • This must be in the format of xxx-xx-xxxx including the dashes

  • date_of_birth (required)

    • DOB must be in the yyyy-mm-dd format as shown in the template.

  • driver_license_number and driver_license_state

    • these are only required if you are screening for an MVR package

    • driver_license_state must be the two-letter abbreviation

  • address_line1 (required)

  • city (required)

  • state (required)

    • state must be the two-letter abbreviation

  • zip_code (required)

    • some spreadsheets do not automatically accept values that start with a 0 and may reformat 01234 to 1234, for example.

    • Changing the formatting of the zip code column in your spreadsheet to plain text can solve this problem.

  • country (required)

    • Country must be abbreviated as “US” for United States or "CA" for Canada

  • rescreen_consented (required)

    • Have you received consent through signed disclosures and authorizations from the candidate? Then input TRUE

    • If you have not received consent from each candidate, they cannot be included in the rescreen document upload process. Do not include that name and information in the template.


Upload the Rescreen template

Ready to go? Good, it’s pretty simple from here. Once you’ve received consent from your candidates and have your Rescreen list following the required format ready to go, it’s easy as 1…2…3!

  1. On the Invitations page, select “Mass Invite”

  2. Toggle the Action field to “Rescreen”. Select your Permissible Purpose and your Account Package.

    1. NOTE: you can only select ONE Account Package for ALL candidates in this upload file

  3. Drag and drop your file (or click to upload) and hit Start

    You will receive confirmation of a successful file upload or be alerted to errors.

When the file is successfully uploaded, the background screening process will commence.


What is Import File?

This is an option of Ordering a Report that enables a mass upload of candidate information versus an individual report invitation.

  1. Click on Order Report then Import File.

  2. Download the .csv Invite Template and fill in the required fields for each candidate: first name, last name and email address. All other fields are optional.

  3. Once the completed file has been attached choose the permissible purpose along with the account package. When finished, click Start.

Note: The Phone Number field can be filled in instead of the Email Address but one or the other is required. Your Yardstik account must also have SMS enabled for the ability to send invites via text message.

When a report invite is sent, the candidate will receive an email with a link to complete their information. They'll also get a reminder each day until the timeframe expires.

If you experience any error messages, you may be able to resolve the error also be repeating the same steps in an incognito (private) browsing session.


Error Messages

If you experience any error messages while uploading a .csv template, check here for a resolution.

Required Fields

The upload function identifies any formatting errors or missing data fields with .csv file before attempting to import the candidate list.

Resolve the issue associated with the error message, save your .csv file and attempt the upload again.

Submissions Failed to Process

You might see this error message after all rows have been uploaded except what is listed in the red "failed to process" error message. The candidate names and reason why that row failed will display, and you can click on the See failed submissions link for more information.

SSN begins with a zero

Social Security Numbers that begin with a zero need extra formatting in the .csv file. You will need to re-format that cell(s) to Plain Text so the leading 0 holds its place.


You may be able to resolve the error also be repeating the same steps in an incognito (private) browsing session.
