Imports results and next steps

So you've successfully gone through the steps import a file, now what?

Import & Order

Two sequential things are happening when you press Import & Order:

  1. We'll attempt to import your candidates.

    1. If we don't have a record of the candidate email, we'll create a new Yardstik candidate

    2. If we have the candidate email already, we'll match to that existing Yardstik candidate

      If we encounter an issue with the candidate data in the file, we won't be able to import that candidate but we'll continue importing the rest of your candidates. We'll communicate details in the Import Failures file, which you can download from the Imports page.

  2. For each successfully-imported candidate, we'll attempt to order a report

    If we encounter an issue while ordering reports, we won't be able to order a report for that candidate, but we'll continue attempting to order reports for the rest of the candidates. We'll communicate details in the Action Failures file, which you can download from the Imports page.

Watch Progress

The Imports page will give you the results of your import as well as any related actions to be taken on your imported data (e.g. Order Report). You will need to refresh your browser page to see updated Import and Action statuses.

Review your results

You’re all set to go if your Total Successes count matches your Import Attempts count.

The import process is considered complete and successes are finalized.

However, if you see a number listed in either of the Import Failures or Action Failures columns, it means we encountered an issue along the way.

From the 3 dots at the far end of the row, download the Import Failures and Action Failures files to get more details about why those failures occurred.

Import Failure indicates that we were unable to import the data from your file to find or create a candidate.

  • For example, we were unable to find or create a candidate because a required piece of information (like email) was missing from your file.

Action Failure indicates that even though we did successfully import the data, we were unable to take the desired action.

  • For example, we were unable to order a report for a candidate because they already have a report in progress for the package you chose

Fix Failures

When reviewing your Import Failures and Action Failures files, some failures will be fixable, and some won’t. The “error message” column will provide details about the failure.

If a failure was due to missing or invalid data in your file, you can correct that and try again (more on that below).

Other failures are unavoidable and may mean you’ll decide not to order a report for that candidate, or to order their report a different way. Here are some examples:

  • If a candidate already has a report in progress for the package you chose, their current report will have to complete before you can order a new one

  • If a candidate is under 16, per our privacy policy we cannot run a report on them

  • If you tried to “Reuse info from a previous Yardstik report” but we couldn’t find a match for the candidate, you could order a report for them using the “Ask candidates to enter their own info” option instead

For failures that are fixable, we recommend these steps

  1. If you haven’t already, from the applicable row in the Imports table, use the 3 dots to download the Import Failures and/or Action Failures file.

  2. Open the file on your computer and check the “error message” column to see what went wrong

  3. Within the same failures file, correct the issue

    1. e.g. if Row 3 has an error message denoting that email is missing, go to the “email” column of Row 3 and add the correct email (making sure it is in the required format)

  4. Repeat for all correctable issues in the file

    1. If you have any rows with issues you cannot correct, you may wish to delete those rows, so as not to encounter the same issues when you re-import

  5. Once you’re done correcting issues, return to the Order Report flow and choose your desired options. Assuming you choose the same package as before, when you get to the UPLOAD CANDIDATES step, upload the failures file in which you made the corrections

    1. This will ensure we only reattempt your failed candidates

    2. You don’t need to delete the “error message” column (or any other added columns) from your failures file — it will be safely ignored

    3. You don’t need to re-upload your original file

  6. Once you IMPORT & ORDER, return to the Imports page to check progress and the results of your new import


Import and Import Action status

Import statuses communicate our progress as we work through your file.

Refresh the Imports page to see the latest status of each import.

Action statuses communicate our progress as we take action on the information you imported.

For example when you order reports, we import the candidates first, then we perform the “Order Report” action for each successfully-imported candidate.
